FlockPack — Where Communities Thrive
Vendor Manual

Everything you need to run a great event on FlockPack

A quick tour of the features you'll use most: building the Super-Grid form, controlling when bookings close, and reading the CSV exports.

1. Super-Grid: your ticket / menu form

1
Add a Super-Grid field
Open your event → Form Builder tab → click Add field → choose Super Grid. Give it a label like Tickets or Menu.
2
Define rows (items)
Rows are the items you're selling: Adult, Kid, Chicken Biryani, etc. Each row can carry a max capacity — leave blank for unlimited.
3
Define columns (price / cost / qty)
Add a Price column so registrants see the sale price, and a Qty column so they can pick how many they want. Add a Cost Price (admin only) column if you want profit tracking — buyers never see this.
4
Enter defaults per row
On each row you'll see inputs like Price $ and Cost $. Fill in the sale price and (optionally) the cost price.
5
Turn on Single Select if it's a picker
In Grid Settings, tick Single Select when only one option should be picked per booking (e.g. Delivery Method: Pickup or Drop-off). The Quantity column stays editable, so people can select "Adult" and still order 3 seats.
6
Collect attendee names (optional)
Turn on Collect Attendee Names in Page Layout to gather one name per unit sold. The first name is auto-filled with the buyer's name.

2. Booking Closes logic

1
Set an end time
In Event Details, pick a date and time under Booking Closes. Times are entered and stored in NZ local time (Pacific/Auckland), so 6:00 pm means 6:00 pm in New Zealand — no timezone maths.
2
Or cap total bookings
Under Total Registration Limit, enter a number to auto-close once you hit it. Leave blank to allow unlimited bookings.
3
What buyers see
Before close: the landing page shows the details grid and a big action button. After close: only a small "Booking Closed" card with your contact person. The contact field pulls from your event's Contact field, so it's always the right name and number.
4
Reopening bookings
Blank both fields (or push the date into the future) and the form re-opens instantly — no re-publish needed.

3. CSV Reports (Fulfillment)

1
Where to find it
Open your event → Fulfillment tab → click Download CSV. It exports every registration with all the columns you'll need for the kitchen or the door.
2
One column per item
Each row of your Super-Grid becomes a column (e.g. Adult, Kid). The cell contains the quantity that buyer ordered.
3
Attendee names (optional)
If you turned on Collect Attendee Names, each item column is followed by an Item — Attendee Names column with the names in the order the buyer entered them.
4
Profit columns
The CSV includes three totals per row: Total Income NZD (qty × sale price), Total Expense NZD (qty × cost price), and Net Profit NZD. Great for reconciling a food fundraiser.
5
Period filter
Above the CSV button, choose Today / This Week / This Month / All time to filter the table (and the visible totals) by NZ calendar boundaries.
